Dev Hound provides a way to create, record, maintain and print invoices for use in:
Sometimes you may need to remove items from an invoice for example to split an invoice or to correct a mistake. To remove items:
Invoice items can be assigned (or reassigned from another invoice) to an existing invoice be doing the following:
Once you have assigned invoice items to an invoice you may print or view the invoice by doing the following:
If you are unhappy with the layout of the invoice or require changes such as adding your logo you may edit the invoice preview template:
By default Dev Hound makes invoices due 45 days after the invoice date. This option may be changed by:
- Documenting work completed on projects
- Tracking and invoicing customer support calls
- Tracking client purchases
Creating new invoices
- Click on the Invoices tab
- Click the Invoice Items button
- This shows any comments that have been entered against support calls or issues that have been marked as billed
- Notice that invoice items that have not been assigned to an invoice have Unassigned in the invoice column
- To assign items to a new invoice click on the check box next to each item
- From the drop down box marked Select an Action choose Assign to New Invoice
- A new invoice number will be created and the selected items will be assigned to it
Removing items from an invoice
Sometimes you may need to remove items from an invoice for example to split an invoice or to correct a mistake. To remove items:
- Click on the Invoices tab
- Click on the Invoice Items button
- Check the checkbox next to each item you want removed from the invoice
- Choose Detach from Invoice from the drop down box marked Select an Action
- The items will now be marked Unassigned and are free to be assigned to another invoice
Assigning items to a particular invoice
Invoice items can be assigned (or reassigned from another invoice) to an existing invoice be doing the following:
- Click on the Invoices tab
- Click on the Invoice Items button
- Check the checkbox next to each item you want to assign to an invoice
- Choose Assign to Invoice... from the drop down box marked Select an Action
- Click on the Invoice Number from the list of available invoices
- The items will now be reassigned to the selected invoice number
Viewing Invoices
Once you have assigned invoice items to an invoice you may print or view the invoice by doing the following:
- Click on the Invoices tab
- Click the Invoice Number of the invoice you want to view/print
- A view of the invoice will appear showing the invoice details
Editing Invoices
- Follow the directions above to view the invoice
- Click the Edit button
- Enter the reference number (optional)
- Enter the invoice date (which defaults to the date the invoice was created)
- Enter the due date (which defaults to 45 days after invoice date which can be changed in Admin -> Defaults)
- Choose the Status (Pending, Paid or Sent)
- Enter any payments made on the invoice
- Select the client and enter a description
- Click on Save to apply the changes
Assigning a client to an invoice
- Follow the directions above to edit the invoice
- Next to the Client box click on the Down Arrow icon
- Choose the client from the list
- The client will now be assigned to the invoice
Printing / Previewing Invoices
- Click on the Invoices tab
- Click on the Invoice Number of the invoice to print or preview
- Click on the Preview button
- Choose Print from your web browser
Changing the Invoice Template
If you are unhappy with the layout of the invoice or require changes such as adding your logo you may edit the invoice preview template:
- In windows Explorer locate the c:\program files\dev hound\cgi\templates folder
- Find the file previewinvoice.htm
- Edit this file in your favourite HTML editor
- Save the changes and make sure you keep a backup copy as this file may be overwritten if you upgrade Dev Hound
- Note: This option is an advanced function designed for user with HTML editing experience.
Invoicing Defaults and Taxes
By default Dev Hound makes invoices due 45 days after the invoice date. This option may be changed by:
- Click on the Admin tab
- Click the Defaults link
- The following may be changed:
- Days to pay invoice - The number of days after the invoice date the due date for the invoice will be automatically calculated
- Default tax rate - the default percentage rate of tax shown on the invoice
- Company Address, Name, Phone etc - The default company details shown on the invoice preview
